About this Notice

This Privacy Notice explains how The Stationery Office (“TSO”, “We” or “Us”) will collect and use personal information that is collected about you when you sign up for, or participate in, user experience testing run by us in connection with websites, mobile apps, online training or other products, such as DVDs or books, ("websites/products") operated or produced by us or by companies in the same group as TSO, including websites/products provided for our third party clients (We refer to these collectively as “the Relevant Websites”). You should read this Notice carefully, as it also sets out information about the rights you may have in relation to your personal information.

The Stationery Office will hold your personal information

The Stationery Office will be the controller of any personal information that is collected about you in the course of user experience testing. You may contact our Data Protection Officer by post at 55 Wells Street, London, England, W1A 3AE, or by email at Robert.Parfitt@wlt.com.

We may collect your personal information as outlined below:

(a)When you sign up to volunteer to take part in a user experience session

Our user experience website may allow you to sign up to enable Us to notify you to apply to take part in future user experience sessions. If you sign up, We will ask you for personal information including your name, address, email address, gender, marital status, living status, number of children, education, disabilities, employment status, driving status and telephone number. We will use this information in order to assess your suitability for sessions, and to contact you if you are chosen to be invited.

If you volunteer to take part in a user experience session, Our legal basis for collecting and using your personal information is that it is necessary for our legitimate interest in identifying and maintaining a panel of potential volunteers for website experience testing to help Us in continually improving the Relevant Websites for visitors. You can contact Us at any time if you have not taken part in a user experience session, and request to be removed from this panel by sending an email titled ‘Unsubscribe’ to TSOServices-UX@wlt.com.

(b)When you take part in a user experience session

We conduct user experience sessions both remotely and at Our offices.

If you are invited to take part in a remote user experience session, you will be asked to use a third party software tool called Lookback. We will record your oral responses to Our questions through this application, as well as recording your face and interactions with the application or website. See “Disclosure of your personal information” for more information about Lookback.

If you take part in a user experience session at our offices, We will record your responses to Our questions through Flashback Recorder, and may also make a video recording of you completing the session.

In addition to the personal information We collect about you when you signed up to take part in the session, We will also collect your facial image, oral responses and certain non-personal information about the device you use to complete the session. We will use the personal information you provide to:

When you take part in a user experience session, Our legal basis for collecting and using your personal information is that it is necessary for Our legitimate interest in obtaining feedback on a Relevant Website and services in order to improve the operation and appeal of the website being tested and other similar websites we may develop. We will take appropriate steps to ensure that Our use of your personal information does not disproportionately impact on your right to privacy.

Disclosure of your personal information

We will only disclose the personal information We collect about you to the following companies, or categories of companies:

Retention of your personal information

The period for which TSO will retain your personal information will vary depending on the purposes that it was collected for, as well as the requirements of any applicable law or regulation. For example, if you register in order to enable you to apply for a particular user experience session and are not selected, We will erase your personal information within a reasonable period. If you take part in a user experience session, We will keep your personal information on file for up to five years in order for Us to carry out the purposes listed above, including contacting you to invite you to participate in future sessions where you have agreed that We can do so.

Your rights

Under applicable laws, you may have the right to:

(a)request access to your personal information (commonly known as a "data subject access request"). This enables you to receive a copy of the personal information We hold about you and to check that We are lawfully processing it;

(b)request correction of the personal information that We hold about you. This enables you to request that any incomplete or inaccurate information We hold about you corrected;

(c)request erasure of your personal information. This enables you to ask Us to delete or remove personal information where there is no good reason for us continuing to process it. You also have the right to ask Us to delete or remove your personal information where you have exercised your right to object to processing (see below);

(d)object to processing of your personal information where We are relying on a legitimate interest (or those of a third party) and there is something about your particular situation which makes you want to object to processing on this ground. You also have the right to object where We are processing your personal information for direct marketing purposes;

(e)request the restriction of processing of your personal information. This enables you to ask Us to suspend the processing of personal information about you, for example if you want Us to establish its accuracy or the reason for processing it;

(f)request the transfer of your personal information to another party;

(g)make a complaint about Our use of your personal information to the Information Commissioner’s Office.

If you want to review, verify, correct or request erasure of your personal information, object to the processing of your personal data, or request that We transfer a copy of your personal information to another party, please contact the Data Protection Officer in writing at the details above.
